How to Book a Rwanda Car Rental From Abroad: Payment Guide
How international travelers book and pay for car hire in Rwanda before arriving: deposits, accepted currencies, card versus cash, mobile money and what to confirm in writing.
Booking a rental car in a country you have never visited, from thousands of kilometres away, involves a certain amount of trust. This guide explains exactly how the process works with a Rwandan car rental company, what you should pay up front, and how to protect yourself.
Book before you fly, not on arrival
Rwanda's rental fleet is small compared with European or American markets, and 4x4 demand is concentrated around gorilla trekking season. In June to September and December to February, well maintained Prados and Land Cruisers are booked out weeks ahead. Arriving at Kigali airport hoping to find a 4x4 on the day is how people end up in an unsuitable vehicle at a poor rate.
The booking sequence, step by step
- Send your requirements. WhatsApp or email your arrival date, departure date, flight number, pickup point, destinations you plan to visit, and whether you want self drive or a driver.
- Receive a written quote. It should state the vehicle model, the daily rate, the total, what is included, and the deposit amount. Get this in writing, not verbally.
- Pay a deposit to hold the vehicle. A modest deposit reserves the specific car for your dates.
- Receive written confirmation. Keep it on your phone. It is your reference at handover.
- Pay the balance at collection, usually on the day you pick the car up in Kigali.
What currency can I pay in?
The local currency is the Rwandan franc (RWF). In practice you have several options:
- US dollars: widely used for tourism pricing and easily exchanged. Bring notes issued in 2013 or later, as banks and bureaus routinely refuse older series.
- Euros and pounds: exchangeable in Kigali at bureaus, though rates are usually better for dollars.
- International cards: Visa and Mastercard work in Kigali at hotels, larger restaurants and ATMs. Tell your bank you are travelling so the transaction is not blocked.
- Bank transfer: practical for deposits sent ahead, and for corporate and NGO bookings that need an invoice.
- Mobile money: ubiquitous locally and useful once you have a Rwandan SIM.
Deposits and the security deposit question
There are two different things called a deposit, and it is worth being clear about both.
A booking deposit is a part payment that reserves the vehicle for your dates and is credited against your total. A security deposit or damage deposit is a refundable sum held against damage or traffic fines and returned after the car comes back clean and undamaged. Ask which applies, how much, and how and when a refundable deposit is returned. Our full explanation is in damage deposits and payment methods in Rwanda.
How to avoid booking with the wrong company
Rwanda has excellent operators and a handful of unreliable ones. Before you send money to anyone, including us, check:
- A working phone number that a real person answers, ideally on WhatsApp so you can see the response speed.
- A physical presence and a consistent business name, address and number across the website and listings.
- A written quote that states insurance and mileage terms explicitly.
- Reviews on Google that describe specific trips rather than one line praise.
- Willingness to send photos of the actual vehicle you are being allocated.

What your written confirmation should contain
- Vehicle make, model and transmission.
- Pickup date, time and exact location, and the same for drop off.
- Daily rate, number of days, total, deposit paid and balance due.
- Confirmation that comprehensive insurance and unlimited mileage in Rwanda are included.
- Fuel policy.
- Any cross border permission, if you have asked for it.
- The cancellation and change terms, see our cancellation policy guide.
Frequently asked questions
Do I have to pay the whole rental in advance?
No. A deposit holds the car and the balance is settled at collection in Kigali. We do not ask international travelers to wire the full amount before arrival.
Are credit cards accepted for car rental in Rwanda?
Visa and Mastercard are usable in Kigali. Amex is far less widely accepted. Card transactions may carry a processing fee, so ask when you book.
How far in advance should I book a 4x4 in Rwanda?
Four to eight weeks ahead for high season, two weeks in quieter months. If your trip includes gorilla permits, book the car as soon as the permits are confirmed.
Where should I change money in Kigali?
Exchange bureaus in the city centre generally offer better rates than the airport. Change a small amount on arrival for immediate needs and the rest in town.
